Data
When you get in touch or request a quote, we process the information you fill in, such as your name, email address, telephone number, company name and message or project information. We use that information to answer your question and to prepare a quote or contract.
For clients, we also process data required to execute the contract, communicate with you and invoice. When visiting the website, technical data may be processed that is required to deliver and secure the website.
Legal basis
We process application data to take pre-contractual steps at your request, customer and project data to execute the agreement, billing data to comply with legal obligations, and technical data as needed for the security and operation of our website.
Where consent is the legal basis, you can withdraw that consent. This does not make the processing prior to the withdrawal invalid.
Service providers
FuturPhase uses Framer B.V. (NL) for website management and hosting. Framer's hosting infrastructure is provided via AWS and includes infrastructure in the United States, Europe, and Asia-Pacific, as well as global CloudFront locations. Cloud86 (NL) handles the email. Hetzner (DE) hosts the self-managed Umami installation. These parties process data to the extent necessary to provide their services. Framer may process technical visitor data for hosting and security purposes.
We do not sell personal data and do not use it for advertising purposes. If data is transferred outside the European Economic Area, we use the applicable legal transfer mechanism and safeguards.
Save
We retain contact inquiries for as long as necessary to process them and handle any follow-up. Customer, order, and billing data are kept for as long as required for the assignment and the applicable legal retention obligations. We store Umami statistics for as long as needed for internal analysis and delete them afterwards.
Cookies & statistics
We use Umami Analytics for general statistics on the use of this website, such as page views, referring websites and general information about browser, device and country. Umami does not use tracking cookies.
We use the statistics for internal analysis and website improvement, not for advertising, and do not attempt to identify visitors directly. We host Umami ourselves on a server at Hetzner (DE). The statistics are retained for as long as necessary for this analysis and then deleted.
Your rights
To the extent permitted by law, you can request access to, correction, deletion, restriction, or portability of your data and object to certain processing. You can withdraw your consent when processing is based on it.

These terms and conditions apply to FuturPhase services, unless the quote or order confirmation states otherwise. The specific agreements in the quote or order confirmation shall prevail in the event of any conflict, to the extent permitted by law.
Quote & Order
The quotation states the activities, planning, price, and any included revisions. The included number of revisions is also specified in the applicable package or price list. Basic packages do not include revisions unless explicitly stated otherwise.
Extra revisions and work outside of the agreed scope of the assignment will be discussed in advance and charged at the rate specified in the quotation. The indicative rate for extra revisions is €100 excluding VAT per hour, depending on the project.
Photography and video shoots are charged according to the chosen package. The package or quotation specifies the number of included hours and what is included for travel time, setup, and teardown. Extra hours are charged at the hourly rate communicated in advance. Depending on the size and distance, travel costs communicated in advance may apply.
Payment & rights
Payment and any consequences of late payment follow the quotation or agreement and the applicable legislation.
After full payment, the client may use the final work for the agreed purpose. Other rights of use, media, duration, territory, and any exclusivity are agreed upon in writing. Source files are only included when this is explicitly agreed upon.
Hosting & cancellation
Ongoing agreements can be terminated in writing with a notice period of three months, provided this has been agreed in the contract. During this period, the agreed work and invoicing will continue.
Hosting is charged annually when specified in the quote or agreement. Any price changes upon renewal will be communicated in advance and applied in accordance with the agreement and applicable legislation.
Liability & law
Nothing in these terms excludes liability where not permitted by law. Belgian law shall apply, without prejudice to mandatory consumer rights and jurisdictional rules.
